Create and schedule tasks
Create a new task
Three ways:
- Type in the Write a task field at the top of the list and press Enter (or click the plus button, Create task)
- Press N anywhere in Tasks
- Choose New task in the meil side menu
The task lands in the list or project you're in. If you're in Shared with me, it lands in Inbox. If you start typing and switch lists before you've finished, the draft keeps its place: the field shows Draft in {list}, and the Resume draft button takes you back.
The title can be up to 240 characters.
Mention people with @
Type @ and a name in the title. You get Person suggestions from your Contacts and from the Workspace directory (business accounts). Move through them with the arrow keys and choose with Enter. The name is inserted in the title, and the reference is stored with the task.
A mention doesn't assign the task to that person. The assignee for project tasks is set in the Assignee field — see Shared projects.
Open the details
Click a task (or press Enter) to open Task details right below the row. Changes are saved with Save; Reset discards them, and Save and close does both. If you switch task or list with unsaved changes, they are saved first.
Under Context and details you see the project or source, Due, Priority, Status and Signals such as Overdue.
Notes
The Notes field supports Markdown. Use the Bold, Italic, Bullet list and Link buttons, and switch between Edit and Preview. Links must start with https://, http:// or mailto:; images are not displayed.
Checklist
Below the notes you'll find Checklist. Type a step in Add a step … and press Enter. Each step can be ticked off, and progress is shown as 2/5 both in the details and in the list. The steps are stored as checkbox lines at the bottom of the note, so they're readable in the project room too.
Notes and checklist together can be at most 4000 characters.
Priority
Choose None, Low, Medium or High. The priority is shown as a badge in the list and can be used as a filter.
Schedule and due date
Tasks have two dates: Schedule says when you want to work on the task, Due says when it has to be finished. Both are dates without a time.
| Field | How to set it |
|---|---|
| Schedule | The Today, Tomorrow and Someday buttons, or a date in the date field. Clear schedule sends the task back to Inbox. |
| Due | A date in the date field. Clear deadline removes it. |
Below both fields is Type a date. There you can type a phrase instead of picking from the calendar: i morgen, om 3 dager, om 1 uke, fredag, neste fredag, 25.09.2026 or 25. september. The Use {date} suggestion shows what the app understood; press Enter to apply it.
The schedule decides which list the task belongs in: today's date or earlier puts it in Today, a later date puts it in Upcoming, and Someday parks the task. A due date that has passed gives the Overdue badge.
For project tasks you choose the list directly instead: Inbox, Today, Upcoming, Scheduled or Someday. That choice is yours alone and doesn't affect the others in the project.
Shortcuts
With a task selected, D opens the schedule and Shift + D the due date.
Repeat (beta)
The Repeat field is available when the feature is enabled for your workspace. Choose Daily, Weekly or Monthly, and set Number of days / weeks / months (1–365). Under Calculate next occurrence from you choose After completion or From scheduled date; the latter requires the task to have a scheduled date or due date.
The next task is created when this one is completed. The checklist is reset, and the history is kept. Repeating tasks have the ↻ badge in the list.
Tags (beta)
The Tags field is available when the feature is enabled. Type a tag in Add a tag … and press Enter. You can use up to 20 tags of at most 40 characters each. Tags set on the project or area are inherited by its tasks and shown with a dashed outline as From project or area. At the top of the list you can Filter by tags; if you select several, only tasks that have all the selected tags are shown.
Move to a project
At the bottom of the details, choose Move to project or heading, or No project to take the task out. See Projects and areas.
